In this post, we explain you why and how to use the feature of sending an automatic welcome message when getting a new booking.

Sending a message to travelers when making a booking is a very important step.

Why?

With this kind of tour, nothing is paid in advance and there are no penalties. Therefore there is a higher risk that the traveler simply does not show up at the meeting point.

When we investigated this issue, we noticed that professional gurus who sent a welcome message with the meeting point’s address, important travel information, etc … reduced the number of travelers who don’t show up by 50%, compared to the gurus that do not send this message. That’s why we made this post with templates to explain how to contact travelers like a professional.

However, gurus were still wasting a lot of time copying and pasting this welcome message every time they had a new booking.

That is why we have created a feature on GuruWalk where you write it once and it is automatically sent from your account to travelers. It will not be sent right after the booking is made, but 20 minutes later to look like a personal message and not a template 😉

To create your own automatic welcome message, just go to your tour page (as your message will be different for each tour). Then, click on ‘Edit welcome message’.

This option may not appear, and that’s because you are using a mobile phone. The easiest way to have this option is to use a computer / laptop. If you want to do it from your mobile phone, in the search engine, you have to configure the page to have the ‘computer’ view. To do that, you only have to go in the parameters of the search engine to click on ‘Desktop site’, as you can see in the picture below.

Once you click on it, a small window will appear and you can write your automatic welcome message. Make sure you have it ready before saving it, because if you save it half done, it will be sent like this to the traveler! If you have the tour in several languages, don’t forget to do it in these languages ​​too.

Very important! Try to remove all additional details of your tour description that don’t help to sell your tour and insert them in your welcome message. Things like:

  • The type of clothes or shoes. Example: come with comfortable shoes, with warm clothes, sunscreen, hat, etc.
  • Extra details about the tour. If there is a stop to go to the bathroom, possibility to buy water or to eat during the guruwalk, if some monuments are closed during a few days of the tour, …
